Every CRM looks cheap at one user on the entry plan. B2B sales teams do not buy one user on the entry plan. This comparison prices nine CRMs on the tier where automation starts, for teams of 3, 8, 15 and 40, and then says plainly who should choose which.

Short answer: The best CRM for a B2B sales team depends on size and how leads arrive. One or two people can start on a free plan from HubSpot, Zoho or Attio. Outbound teams of 3 to 40 get the lowest fixed cost from a flat-price CRM such as Tailr CRM. Phone-heavy teams fit Close, and complex enterprises fit Salesforce.

I have bought CRM software from the inside of large companies (American Express and Amazon) and for a 20-person outbound team, and the same mistake shows up at both ends: people compare the price of one user on the cheapest plan. A B2B sales team never ends up there. Within a quarter you need workflow automation, shared pipelines and reporting, and those sit one or two tiers up.

So this comparison does something the usual lists do not. It prices nine CRMs on the tier where automation starts, for teams of 3, 8, 15 and 40 users, using list prices I checked on each vendor's pricing page on October 10, 2026. One of the nine, Tailr CRM, is ours; I have tried to be as plain about where it does not fit as where it does.

What each team size really pays in a year

This is the table I wish vendors published. It takes the automation tier from the table above, multiplies by users and twelve months, and adds any required one-time fee. It is arithmetic on list prices, not a quote.

Calculated from list prices checked on October 10, 2026 (Zoho as noted above). Excludes tax, calling minutes, AI credits, add-ons, implementation partners and negotiated discounts, all of which can move the real figure in either direction.

Three things stand out. First, the gap between the cheapest and dearest option is about 8 times at 3 users and about 30 times at 40 users, because per-seat prices multiply and a flat price does not. Second, three well-known CRMs cluster near $18,000 a year for 15 users. Third, price is not the whole decision: Close includes a power dialer on that plan, HubSpot includes a marketing platform's worth of connected tools, and Salesforce can be shaped to almost any process. You are paying for different things.

Picks by team size

1 to 2 people: start free

A founder or a pair of sellers does not need to pay yet. HubSpot's free tools cover up to 2 users, Zoho CRM's free edition covers 3 and Attio's free plan covers up to 3 seats. Choose the one whose paid tiers you could live with later, because moving is easier at 200 contacts than at 20,000.

3 to 5 people: decide how leads arrive

If most leads come from cold email and LinkedIn, Tailr CRM Starter is $59 a month for the whole team and takes positive replies from your sending tool straight into the pipeline. If you sell from a visual board and mostly by email and meetings, Pipedrive Growth is about $864 a year for three seats. If you sell on the phone all day, Close's built-in calling is worth its higher price.

6 to 15 people: the per-seat bill starts to bite

This is where the yearly table matters most. A team of 8 pays between $790 and about $10,000 for the automation tier. Outbound teams and agencies fit Tailr CRM Team (up to 15 users for $79 a month). Marketing-led teams with a content and inbound engine get real value from HubSpot Professional, provided they will use the marketing side. Freshsales Pro and Zoho Professional are sound middle options for mixed inbound and outbound.

16 to 40 people: managers need reporting and control

At this size you need roles, lead assignment rules and reports you trust. Tailr CRM Growth covers up to 40 users for $149 a month. Zoho, Freshsales and monday CRM land between roughly $11,000 and $19,000 a year at 40 users. If your process already needs custom objects, territories and approvals, start the Salesforce conversation now.

More than 40, or genuinely complex

Tailr CRM's plans stop at 40 users, so it is not the answer here. Salesforce (Pro Suite, or Core at $195 a user) and HubSpot Enterprise ($150 a seat plus $3,500 onboarding) are built for this, with the admin cost that comes with them.

Tailr CRM

A self-serve, white-label outbound CRM from B2BXclusive. Salesforce

Pipedrive

Zoho CRM

Per-seat pricing is cheaper for very small teams and scales with headcount, so every hire raises the bill. Flat pricing costs the same whether you have 6 users or 15, which favors growing teams and agencies that add client logins. Work out the yearly cost at your expected headcount in twelve months, not today's.

What should a B2B sales CRM do that a general CRM does not?

It should capture leads from wherever they start (forms, cold email replies, LinkedIn, referrals), assign them to an owner automatically, create follow-up tasks, show a pipeline by stage and report on conversion by source. For outbound teams, it should also take positive replies from the sending tool without anyone retyping them.

Which CRM is best for outbound teams using Smartlead, Instantly, lemlist or Apollo?

Do I need Salesforce for B2B sales?

How long does it take to switch CRMs?

For a team under 40 users, the data move is usually days, not months: export contacts, companies and open deals as CSV, map the fields, import and check. The slower part is habits. Run both systems for a week, then switch the old one to read-only so nobody keeps updating two places.
